How to Manage Visitation Rules in TimeTec VMS

Introduction
Each company requires a specific setting to control visitors in the system. Visitation Rules allow settings for check-in, face recognition, and check-out to be configured accordingly. This article is guiding on how to manage visitation rules in TimeTec VMS.

Process
1. From the navigation bar, tap on the Setting module and tap on the Visitation Settings, and then the visitation rules option from the side menu. Finally, tap on the edit button to make relevant changes to the visitation rules.

2. Set Check-In Period from 1 hour until 5 hours to allow visitors to check-in before or after the estimated arrival time within the preset period. Please enable the visitation hours settings and select recipients of the notification to send an alert notification when the visitor check-in after visitation hours.

3. Enable Face Recognition if the company allows visitors to upload their photo (selfie image) during pre-registration and scan their face at the face recognition device for verification. 
To allow group registration,  please enable Register on Behalf setting, and enable the setting for All visitors in a group if the company requires each visitor to fill up their details in a group registration. To set the email address as a mandatory field, turn on Email Address setting. You can also insert a watermark or any additional information if you wish to display it during walk-in registration or in the visitation ticket, respectively.

4. For the Check-Out setting, you need to enable the Required Second Check-In/Out if visitors must go through different checkpoints two times to check-in and check-out. (E.g. First, check-in point at the lobby, second check-in to enter a meeting space). You also need to turn on the Compulsory Check-Out if visitors must check-out before leaving the premises. Otherwise, they will not be able to check in again on their next visit. As for the Automatic Check-Out, enable and insert the preset time to allow for automatic check-out of any checked-in visitors after the preset period.

5. After the setting is complete, you may scroll up and click on the Save button to save the changes.
